4. Cookies

Our website currently uses only cookies needed for it to work. If we add analytics or advertising cookies, we'll only set them after you accept them through our cookie banner. You can change your choice at any time using "Cookie Settings" in the footer.

5. If you received a review request from a business we work with

We send review requests on behalf of the businesses that use our service. That business is the controller of your data and decides how it's used, so please contact them with any questions or requests about your data. You can stop receiving requests at any time by replying STOP to a WhatsApp message or using the unsubscribe link in an email.

6. Who we share data with

We share personal data only with service providers who help us run our business, under contracts that require them to protect it:

  • our CRM, hosting and messaging platform provider
  • email delivery providers
  • our payment processor
  • our professional advisers (such as our accountant), where needed
  • authorities, where the law requires it

7. International transfers

Some of our service providers are based outside the European Economic Area, including in the United States. Where data is transferred, we rely on an appropriate safeguard, such as an adequacy decision (including the EU-US Data Privacy Framework) or the European Commission's Standard Contractual Clauses.

8. How long we keep data

  • Enquiries and bookings that don't become clients: up to 24 months after our last contact.
  • Client records: for as long as you're a client, and then for up to 6 years for legal, tax and accounting purposes.
  • Data we process for clients (their customers' details): deleted within 30 days after the client's service ends.

9. Security

We use appropriate technical and organisational measures to protect personal data, including access controls and reputable, secure service providers.

10. Your rights

You have the right to access your data, correct it, have it deleted, restrict or object to how it's used (including any marketing, at any time), and receive a copy in a portable format. Where we rely on consent, you can withdraw it at any time.

To exercise any of these rights, email hello@zentesystems.com. We'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the Data Protection Commission (www.dataprotection.ie). If you're in the UK, you can complain to the Information Commissioner's Office (www.ico.org.uk).

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
